We aim to fully comply with Article 13 of the General Data Protection Regulation (GDPR) in providing information to data subjects where data is collected from them. All personal data captured is processed in accordance with the Data Protection Act 2018. Greatbatch Ltd trading as Letterbox Distribution.com is the controller, staff members have received adequate data protection training which is further enhanced by our ongoing training programme in place. It is sometimes necessary for third party suppliers e.g. those that offer professional business services such as mail wholesalers, to us to access personal data. We always ensure that we undertake full due diligence with any such organisation and also ensure that we have in place a Data Processing Agreement.
We collect data at the following capture points – Print Quotation Form, Enquiry Form, Chat Box, Telephone, Email, Linkedin, Facebook, Twitter, Instagram and our CRM system. The email addresses of those who communicate with us via e-mail, aggregate information on what pages consumers’ access or visit, information volunteered by the consumer, such as survey information and/or site registrations.
The main purpose of the processing of personal data is the performance of a contract. No data will be held for any longer than is necessary to fulfil the contract and will be deleted unless specified by a client on April 1st each year unless it has been kept on our systems for less than 12 months. The only information that may be held longer is for our own accounting purposes, and for legal and tax purposes.
The information we collect is not shared with other organisations for commercial purposes.
In terms of personal data we use for marketing, we will keep this data for as long as we are able to market to you and if you withdraw your consent or opt-out of marketing communications, we will keep your contact details only to ensure that we do not contact you again for marketing purposes. Where electronic marketing is concerned we comply with our obligations under the Privacy and Electronic Communications (EU Directive) Regulations 2003 (PECR).

We will need to confirm your identity before we can consider your request so, if you wish to exercise any of these rights, we will need two forms of identity to ensure you are the data subject. Right to data portability
You have the right to move, copy or transfer your personal data from one IT environment to another. Right to object
You have the right to object to our processing of your personal data based on (i) legitimate interests, or for the performance of a task in the public interests/exercise of official authority (including profiling); (ii) direct marketing (including profiling); and (iii) for purposes of scientific/historical research and statistics.

Processing based on consent

The personal data that you provide to us is necessary for us to carry out the contract you have entered into with us or for us to perform our obligations under Statute. We will only use your data to discuss requirements regarding the services we provide to you. Personal data may be needed to fulfil the job description and for accounts. We process employee National Insurance Number for payroll, National Insurance & Tax Purposes.
